What is an EDI 104?

The EDI 104 Air Shipment Information is the ANSI X12 transaction set for transmitting detailed bill of lading and rating information for an air carrier shipment. It covers the sender, the detail of single-piece and multi-piece shipments, the consignee and third parties, the detail and charges for each shipment, and shipment totals.

The 104 gives the air carrier the data it would otherwise key from a paper air waybill, so it can rate the shipment, plan handling and produce its own documents. The carrier later bills with the 110 air freight details and invoice.

How to read this diagram: the top row shows who sends the 104, to whom, and which documents usually come before and after it. The lower part shows what X12 release 008010 itself requires: the envelopes around the 104 and the segments and loops the standard marks as required, area by area. Optional loops are listed by the segment that starts them rather than drawn in full. This is the standard's minimum, not a trading partner's requirement: each partner's implementation guide usually makes some optional loops mandatory, restricts the codes and may use a different release.

Structure

Mandatory segments in the 104 (X12 release 008010)

The segments X12 release 008010 marks as mandatory at their level, in order. Segments inside optional loops are needed only when the loop is used. This is the standard's requirement, not your trading partner's: each partner's implementation guide names the release it uses, adds the optional segments it requires and restricts the values. The requirement status comes from one published X12 reference listing and has not been checked against a second source.

Practical example

The 104 in practice

A medical device maker ships urgent spare parts by air from Memphis to Seattle. Its shipping system sends the air carrier a 104 with the shipper and consignee, 6 pieces with their weights and dimensions, the declared value, the service level and the account to bill. The carrier rates the shipment from the data and later sends a 110 invoice referencing the air waybill.

Implementation

Implementation considerations for the 104

  • Send accurate dimensions, since air freight is often rated on dimensional weight.
  • Use the air waybill number consistently across shipment, status and invoice data.
  • Declare dangerous goods and special handling with the codes the carrier requires.
  • Confirm which party pays, because air freight is often billed to third parties.
