Macy's EDI requirements for suppliers

What Macy's publishes on MacysNet about EDI, which X12 documents and versions it lists, what changed recently, what needs a supplier login, and how to prepare your integration.

Overview

Understanding Macy's integration

Who this is for: Suppliers selling to Macy's and Bloomingdale's stores and websites, including vendor direct to consumer (drop-ship) suppliers, and the EDI and logistics teams that support them.

Macy's runs its supplier communication through MacysNet, a vendor site with a public document list and a registered area for accounts payable, the document library and shipment requests. The EDI section of that list is the best public starting point: it names the X12 mapping guides Macy's maintains, the versions they cover and the operational documents that sit around them, such as interchange segment requirements, transmission schedules and ASN timing.

The list shows two broad flows. Store and distribution center orders use the usual order-to-cash documents: purchase order, acknowledgment, advance ship notice and invoice, with remittance advice coming back. Vendor direct to consumer, where the supplier ships online orders straight to Macy's customers, has its own guides for the purchase order, ship notice, invoice and, in older versions, inventory advice. Ship notices also come in separate variants for standard carton pack and pick and pack shipments.

Requirements change, and Macy's announces changes in the same list. A recent example is the Trip ID, which must be included in the 856 ship notice from February 1, 2026. This guide records what we confirmed on MacysNet and when, separates it from what needs a login, and states plainly what we could not confirm.

Requirements at a glance

What Macy's publishes for suppliers

Macy's publishes its EDI documentation on MacysNet. The public EDI list names X12 mapping guides for versions 5010, 4050, 4030 and 4010, separate guides for vendor direct to consumer, and supporting documents for interchange segments, transmission timing and remittance codes. We checked the list on October 30, 2026.

Document by document

What each Macy's document needs

For each document: what it does for you as the supplier, what Macy's own documents say about it (with the source and its date), and general EDI practice that helps, labelled as such. Your Macy's mapping guide for your version is the final word on fields and codes.

850

Purchase Order

You receive · Stores and DCs; vendor direct to consumer has its own guide

Macy's sends every order as an 850. It tells you what to ship, to which stores, by when, and how each carton must be labelled.

What Macy's states

General EDI practice

  • Return a 997 for every 850 you receive, and check that each order converts into a sales order in your ERP before it is acknowledged.
  • Keep the store-level distribution from the 850 all the way to carton labels; most labeling errors start with lost store detail.

How the 850 works in X12

856

Advance Ship Notice

You send · Standard carton pack, pick and pack, vendor direct to consumer

The 856 tells Macy's what is on the truck, carton by carton. It is the document Macy's audits most closely, and the main source of EDI deductions.

What Macy's states

General EDI practice

  • Build the 856 from actual pick and pack data, not from the purchase order, so it matches what is in each carton.
  • Pass the Trip ID from your transportation or bill of lading system into EDI automatically rather than keying it.

How the 856 works in X12

810

Invoice

You send · Stores and DCs; vendor direct to consumer has its own guide

The 810 asks Macy's to pay for what you shipped. Macy's checks it against the purchase order, the 856 and what was received.

What Macy's states

General EDI practice

  • Generate the invoice from the same shipment record as the 856 so quantities and bill of lading numbers always agree.

How the 810 works in X12

820

Remittance Advice

You receive

The 820 explains each payment: which invoices were paid and what was deducted, using Macy's ADX and transaction codes.

What Macy's states

General EDI practice

  • Load the code list into your accounts receivable mapping so each deduction is classified automatically and can be reviewed.

How the 820 works in X12

846

Inventory Advice

You send · Vendor direct to consumer, and select vendors

The 846 tells Macy's how much you can supply. For vendor direct to consumer it decides which items customers can buy online.

What Macy's states

General EDI practice

  • Send available-to-promise quantities, not on-hand totals, so online orders are not taken for stock you cannot ship.

How the 846 works in X12

997

Functional Acknowledgment

Both directions

A 997 confirms that a document arrived and could be read. It does not accept the order or agree the content.

What Macy's states

General EDI practice

  • Monitor unacknowledged documents daily; a missing 997 is often the first sign of a connection or mapping problem.

How the 997 works in X12

Deductions

What Macy's charges for EDI problems

Macy's calls its compliance charges expense offsets and deducts them from payments. The amounts below are the technology and receiving offsets listed in the 2023 Vendor Standards, the current edition on MacysNet when we checked. Detailed descriptions and label images are in MacysNet, behind the login.

Moved to 100% audit (integrity audit) after accuracy falls$50 per receipt plus $1.00 per unitSource: Macy's Vendor Standards (2023 edition), Jun 22, 2023, p. 58
ISA and GS versions that do not match, so Macy's translator rejects the documentExpense offsets, amount not statedSource: Macy's EDI ISA and GS segment requirements, May 4, 2015

General practice for handling deductions

  • Reconcile every 820 against open invoices as it arrives, and group deductions by code to find the process causing them.
  • Fix the cause first: most 856 and label offsets come from cartons packed differently from what the 856 describes.

Scorecard and audits

How Macy's measures supplier performance

Macy's public documents do not describe a named vendor scorecard. They do set accuracy targets for ship notices, checked by carton-level audits, and Vendor Direct Fulfillment suppliers are reviewed every month.

Onboarding

Getting set up with Macy's, step by step

Steps with a source come from Macy's own onboarding material; the others are general practice that keeps the project on track.

  1. Confirm your account numberWeek 1

Macy's sends it to your accounts receivable or credit department at setup. It is released only to email addresses on your company's own domain.

Checklist

Macy's EDI readiness checklist

  1. Confirm with your Macy's merchant which programs you supply, then complete the EDI Startup Form.
  2. Download the mapping guides for your X12 version from the MacysNet EDI list, including vendor direct to consumer guides if they apply.
  3. Check that the ISA12 and GS08 versions match in every interchange you send.
  4. Set up a value-added network connection that reaches Macy's preferred network, and confirm it with Macy's EC Technology.
  5. Send the 856 as soon as the truck door closes, at least three hours before delivery, with the Trip ID at shipment level.
  6. Print GS1-128 labels from the same carton data as the 856, one SSCC per carton, never reused.
  7. Send one 810 per store, purchase order and bill of lading, matching the 856, with a unique numeric invoice number of up to 10 digits.
  8. Map the 820 ADX and transaction codes so payments and deductions post to the right invoices.
  9. Register everyone in shipping and accounting on MacysNet before your first shipment.

Avoid these

Common mistakes with Macy's EDI

Sending the 856 after the goods arrive

Macy's needs the 856 processed before the delivery, so send it as soon as the truck door closes. A late 856 is charged per receipt.

Source: Macy's Vendor Standards (2023 edition), Jun 22, 2023, p. 14, 57

Leaving out the Trip ID

Since February 2026 the routing notification's Trip ID must be in REF*AO at shipment level. It has to flow from transportation planning into EDI.

Source: Macy's notice: Trip ID required in the EDI 856, Oct 10, 2025

Mismatched ISA and GS versions

If ISA12 and GS08 disagree, or the ISA11 separator is wrong, Macy's translator rejects the document and expense offsets follow.

Source: Macy's EDI ISA and GS segment requirements, May 4, 2015

Reusing GS1-128 numbers

Carton serial numbers must be unique across all shipments and Macy's entities, and may repeat only when re-sending the same 856.

Source: Macy's Vendor Standards (2023 edition), Jun 22, 2023, p. 16

Using the PO cross-reference instead of the PO number

The 850 can carry a cross-reference in REF with the CO qualifier. The 856 must use the actual purchase order number from BEG03.

Changing EDI systems without notice

A new translator or provider can change formats overnight. Tell Macy's 60 days ahead and plan for re-testing.

Connectivity

Your options for connecting to Macy's

  • Macy's preferred network

Macy's Vendor Standards name a preferred value-added network and list the networks it interconnects with. Check your route to it before choosing a provider.

    From Macy's published documents

  • AS2 or a value-added network

These are the common ways suppliers connect to large retailers. ECOM supports both, so the route can follow what Macy's confirms during setup.

    General guidance

  • WebEDI

Suppliers with low volumes can handle Macy's documents in a browser through a WebEDI service instead of running EDI software.

    General guidance

Challenges

Common integration challenges

  • Choosing the right guide

Macy's lists guides for four X12 versions and for separate programs, so mapping the wrong version or program is an easy and costly mistake.

  • Ship notice variants

Standard carton pack, pick and pack and vendor direct to consumer ship notices are documented separately, and each needs its own map and test.

  • Trip ID in the 856

Since February 1, 2026 the 856 must carry a Trip ID, which means the value has to reach your EDI system from transportation planning.

  • Deductions in the 820

Remittance adjustments use Macy's ADX codes, which must be mapped so accounts receivable can apply payments and dispute deductions.

Automation options for Macy's suppliers

Four ways to automate. One foundation.

Macy's requirements on this page cover the 850, 855, 856, 810, 820, 846, 852, 870, 832, 180 and 997. ECOM helps you automate them, meet Macy's labeling and ship notice requirements, and see what needs action. Macy's sets its program's rules; ECOM confirms which options fit yours.

PRISM Supply Chain Automation Foundation

One platform beneath every option. Use one, or combine them for different partners and documents.

Compliance and actionable visibility

Connect order processing, shipping documentation, trading partner requirements, and performance monitoring through one coordinated workflow. These capabilities help teams improve shipment accuracy, reduce manual work, address compliance risks, and respond to exceptions before they affect customers.

Discuss Your Trading Partner Requirements

Connect Macy's documents to your ERP

ECOM can integrate Macy's documents with your ERP through APIs, IDocs, database interfaces or flat files, so purchase orders post as sales orders and ship notices and invoices are created from ERP and warehouse data.

Macy's integration FAQs

Which X12 version does Macy's use?

MacysNet lists mapping guides for X12 versions 5010, 4050, 4030 and 4010, and the Vendor Direct Fulfillment standards require version 4010 or higher. The public material does not say which version a new vendor is assigned, so confirm it on the EDI Startup Form.

What is the Macy's Trip ID requirement?

Macy's announced that from February 1, 2026 the Trip ID must be included in the EDI 856 advance ship notice. The detail is in the Macy's announcement on MacysNet.

Does vendor direct to consumer use different EDI documents?

Yes. MacysNet lists separate vendor direct to consumer guides for the 850, 856 and 810, and for the 846 in older versions, so these flows are mapped and tested separately from store orders.

What does Macy's charge for a late or missing 856?

The 2023 Vendor Standards list $100 per receipt for a late 856, and $8.50 per carton with a $100 minimum per receipt when the 856 is missing, unusable or inaccurate. Check MacysNet for the current amounts.

Which network does Macy's use for EDI?

Macy's Vendor Standards name Macy's preferred value-added network and list other networks that interconnect with it. Ask Macy's EDI support if your network is not on the list.

Do I need a MacysNet login?

The EDI document list is public, but accounts payable activities, the document library and shipment requests need a registered MacysNet account, and some documents in the list are marked as needing a login.

Is ECOM a Macy's-certified provider?
