Urban Outfitters (URBN) EDI program for vendors

What URBN publishes about its optional EDI program, including the designated EDI provider requirement, the 850, 856 and 810, the Tradestone steps that remain, the pre-pack ASN format and the import vendors who cannot use EDI.

Overview

Understanding Urban Outfitters Inc. integration

Who this is for: Apparel, accessory and home vendors shipping to URBN in the US, and the EDI, logistics and accounts receivable teams that support them.

URBN, the parent of Urban Outfitters, describes its EDI program on its US vendor website and in a 2023 program overview. EDI is optional at URBN. Vendors can use it instead of creating packing lists, ASNs, carton labels and invoices in URBN's Tradestone portal. Tradestone is free, while EDI comes at a cost to the vendor.

URBN works with one designated third-party EDI provider. Vendors who choose EDI register, test and certify with that provider, using either its web-based fulfillment service or their own EDI system after the provider's testing. URBN sends the 850 purchase order, and the vendor returns the 856 ship notice and 810 invoice. GS1-128 carton labels are approved by the provider during certification.

URBN calls its option "not true EDI": vendors still accept each purchase order, enter country of origin and enter customs descriptions in Tradestone. URBN sends a replacement 850 instead of an 860 and does not use UPCs. Import vendors for which URBN is the importer of record cannot use EDI. This guide records what URBN publishes and lists what we could not confirm.

What Urban Outfitters Inc. publishes for suppliers

URBN's EDI program runs through URBN's designated EDI provider, which holds URBN's EDI specifications; URBN's own pages do not name an X12 version. The program covers the 850, 856 and 810 and GS1-128 carton labels. We read URBN's EDI program page and its 2023 program overview on October 31, 2026.

Avoid these

Common mistakes with Urban Outfitters Inc. EDI

Accepting the PO after the ship date

POs accepted in Tradestone after the PO ship date do not transmit; ask the buying team to extend the date instead.

Waiting for an 860

URBN never sends an 860, so changes only show up as a replacement 850 that you must compare yourself.

Mixing Tradestone and EDI

EDI vendors may not send some ASNs or invoices through Tradestone and others by EDI.

Connectivity

Your options for connecting to Urban Outfitters Inc.

  • URBN's designated EDI provider

Vendors who choose EDI must register, test and certify with URBN's designated EDI provider, which URBN contracted to provide one test environment that mirrors its production setup.

From Urban Outfitters Inc.'s published documents

  • Provider's web-based fulfillment service

A browser-based service that meets URBN's requirements without your own EDI system, for a set-up fee and monthly fee from the provider.

From Urban Outfitters Inc.'s published documents

  • Tradestone portal

URBN's free vendor portal, still needed by EDI vendors to accept POs, enter country of origin and enter customs descriptions.

Challenges

Common integration challenges

  • Tradestone steps remain

EDI vendors still accept each PO, enter country of origin and enter customs descriptions in Tradestone; POs must be accepted before the ship date to transmit.

  • No UPCs and no 860s

URBN sends no UPCs, so you cross-reference its short SKU to your SKU and UPC, and revisions arrive as replacement 850s you must compare yourself.

  • Pre-pack ASN format

All vendors are expected to support URBN's pre-pack formatted ASN structure, with line detail matching the order.

Urban Outfitters Inc. integration FAQs

Does Urban Outfitters require EDI?

No. URBN offers EDI as an option instead of creating packing lists, ASNs, carton labels and invoices in its Tradestone portal. Tradestone is free; EDI comes at a cost to the vendor.

Which EDI provider does URBN use?

URBN works with one designated EDI provider. Vendors register, test and certify with it, then use its web-based fulfillment service or their own EDI system or provider.

Does URBN send 860 purchase order changes?

No. URBN does not transmit 860s. You re-accept the revised PO in Tradestone, which triggers a replacement 850, and you identify the changes yourself.

Who cannot use URBN's EDI program?

Import vendors for which URBN acts as importer of record cannot use EDI, because URBN needs Tradestone documents to clear customs.

Is ECOM a URBN-approved provider?

This page is an integration guide and does not indicate an approval or partnership with URBN. ECOM builds integrations to the requirements URBN publishes.
