What is an EDI 146?

The EDI 146 Request for Student Educational Record (Transcript) is the ANSI X12 transaction set used by educational institutions to which a student has applied for admission. The request is sent to the institution the student is currently attending or previously attended.

Requesting transcripts electronically lets admissions offices obtain records for many applicants quickly. The holding institution answers with a 147 saying when the transcript will be sent or why not, and sends the transcript itself as a 130. Requests can name the term or level of the records needed.

How to read this diagram: the top row shows who sends the 146, to whom, and which documents usually come before and after it. The lower part shows what X12 release 008010 itself requires: the envelopes around the 146 and the segments and loops the standard marks as required, area by area. Optional loops are listed by the segment that starts them rather than drawn in full. This is the standard's minimum, not a trading partner's requirement: each partner's implementation guide usually makes some optional loops mandatory, restricts the codes and may use a different release.

Mandatory segments in the 146 (X12 release 008010)

The segments X12 release 008010 marks as mandatory at their level, in order. Segments inside optional loops are needed only when the loop is used. This is the standard's requirement, not your trading partner's: each partner's implementation guide names the release it uses, adds the optional segments it requires and restricts the values. The requirement status comes from one published X12 reference listing and has not been checked against a second source.

Practical example

The 146 in practice

A university receives an application from a student at another college. Its admissions system sends that college a 146 requesting the student's transcript, with the student's identifying details. The college replies with a 147 that the transcript will be sent after final grades are posted, then sends the 130.

Implementation

Implementation considerations for the 146

  • Confirm the student's consent before requesting records.
  • Identify the student precisely to avoid mismatches.
  • Track requests until transcripts arrive.
  • Handle responses explaining delays or refusals.
