What is an EDI 947?

The EDI 947 Warehouse Inventory Adjustment Advice is the ANSI X12 transaction set used to inform a warehouse, a depositor or another business party of a change in quantity or status to inventory records. It carries the detail of internal adjustments between a warehouse and the owner of the goods.

Typical adjustments include cycle count corrections, damage found in storage, product placed on or released from hold, and changes of lot or status. Without them, the owner's inventory records drift away from what the warehouse actually holds.

How to read this diagram: the top row shows who sends the 947, to whom, and which documents usually come before and after it. The lower part shows what X12 release 008010 itself requires: the envelopes around the 947 and the segments and loops the standard marks as required, area by area. Optional loops are listed by the segment that starts them rather than drawn in full. This is the standard's minimum, not a trading partner's requirement: each partner's implementation guide usually makes some optional loops mandatory, restricts the codes and may use a different release.

Structure

Mandatory segments in the 947 (X12 release 008010)

The segments X12 release 008010 marks as mandatory at their level, in order. Segments inside optional loops are needed only when the loop is used. This is the standard's requirement, not your trading partner's: each partner's implementation guide names the release it uses, adds the optional segments it requires and restricts the values. The requirement status comes from one published X12 reference listing and has not been checked against a second source.

Practical example

The 947 in practice

During a cycle count, a 3PL finds four fewer cases of one item than its records show, and two damaged cases of another. It sends the product owner a 947 with both adjustments and their reason codes. The owner's ERP updates inventory, and the finance team reviews the write-off.

Implementation

Implementation considerations for the 947

  • Agree reason codes for each type of adjustment so the owner can post them correctly.
  • Reconcile inventory regularly with an inventory status report, such as the 846, to catch missed adjustments.
  • Decide which adjustments need the owner's approval before they are made.
